Buyer's Guide: How to Import from Vietnam

The 7-step process from first inquiry to container delivery — typical timelines, payment terms, and what we handle on your behalf.

Most first-time buyers spend two weeks researching the import process before they send an inquiry. This guide collapses that research into a 7-step roadmap based on the 200+ containers we ship every year.

STEP1

Inquiry

Day 0

Send us a short email with three pieces of information: the product line you're interested in (veneer or plywood), the destination port, and the approximate quantity (1 container, 5 containers, etc.). We don't need a full specification yet — we will fill in the blanks.

STEP2

Quote

Day 1

Within 24 working hours we send you a CFR or CIF quote in USD. The quote includes: unit price per m³, container loading quantity (sheets per 20DC or 40HQ), lead time, payment terms, and the certifications that ship with the goods. Quotes are valid for 14 days because veneer prices fluctuate with rubber tree harvests.

STEP3

Sample

Day 3–7

If the quote looks workable, we ship a free A4-sized sample by DHL/FedEx to your office. The sample is cut from current production stock so what you see is what arrives in the container. Allow 3 days for production + 4 days for international courier.

Proforma Invoice

Day 14

Once you confirm the sample and quantity, we issue a Proforma Invoice (PI) covering the full order. The PI lists the bank details for T/T payment, the production schedule, and the documents we will provide. Most buyers accept the PI within 48 hours of receipt.

Payment

Day 14–17

Standard terms are 30% T/T deposit on PI signing, 70% T/T against B/L copy before container ships. We also accept L/C at sight for orders above USD 30,000 if you prefer to avoid forward payment risk. Bank charges are split: you pay sender bank, we pay receiver.

STEP6

Production + QC

Day 18–35

Production runs for 14–21 days depending on glue cure times and order volume. We send daily WhatsApp updates with photos. Two days before container loading we conduct in-house QC: dimension check, moisture content (≤14%), glue line bond test (boil test for WBP plywood), face appearance grade. You receive the QC report with photos before goods leave the mill.

STEP7

Shipment + Documents

Day 36–70

Container is sealed at the mill and trucked 80–110 km to Cat Lai Port (Ho Chi Minh City). Transit times: Middle East 14–21 days, India 7–10 days, EU 25–30 days, US East Coast 28–35 days. Documents that follow the container: Commercial Invoice, Packing List, B/L, Certificate of Origin (Form A for GSP), Phytosanitary Certificate, Fumigation Certificate (ISPM-15), and any region-specific docs (SABER for Saudi, ECAS for UAE).
